Second Pilot Privacy Policy

Effective Date: October 3, 2026
Last Updated: October 3, 2026

Second Pilot (“Second Pilot,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect, why we use it, when it may be disclosed, how we protect it, and the choices available to you.

We have tried to explain these practices in plain language. If you have questions, please contact us using the information at the end of this Policy.

1. Who We Are

The service is operated by Second Pilot, a California-based sole proprietorship.

This Policy applies to the Second Pilot website, web application, household assessments, Professional services, and related services (collectively, the “Service”).

2. Information We Collect

We collect information reasonably necessary to provide and operate Second Pilot.

Depending on how you use the Service, this may include:

  • your name;
  • email address;
  • optional participant phone number;
  • Professional or organization contact information;
  • account and authentication information;
  • household and participation status information;
  • assessment responses and clarifications you provide;
  • generated household findings, Reports, Plans, scores, and related outputs;
  • service activity, operational records, and security/audit information; and
  • purchase and transaction information when applicable.

Professional users may provide additional business information, such as organization name, business contact information, role, and Professional client-management information permitted by the Service.

Second Pilot is not designed to collect or store passwords, PINs, Social Security numbers, full financial account numbers, or similar credentials. Please do not provide this information unless Second Pilot specifically requests it for an authorized purpose.

3. Independent Household Participation

Household participants provide information independently.

Second Pilot does not ordinarily disclose one participant’s individual assessment responses to the other participant, a sponsoring Professional, or a Professional Organization.

Second Pilot combines and analyzes participant information to identify household strengths, knowledge gaps, dependencies, differences in readiness, and potential continuity risks.

Differences between participants may themselves be meaningful findings and are not necessarily errors.

4. How We Use Information

We may use information to:

  • establish and manage Household, Professional, and organization accounts;
  • authenticate users and maintain account security;
  • provide and operate household assessments;
  • generate Household Continuity Scores, Reports, 30-Day Knowledge Transfer Plans, and related outputs;
  • request clarification when information is ambiguous;
  • perform automated and AI-assisted analysis and quality review;
  • conduct limited human quality or exception review when appropriate;
  • provide customer and technical support;
  • investigate errors, security issues, or system problems;
  • maintain audit, security, and operational records;
  • administer Professional Organizations, household assignments, and purchased services;
  • process transactions and maintain purchase records;
  • measure and improve the reliability, usability, and performance of Second Pilot; and
  • comply with applicable legal obligations.

We do not sell private participant assessment responses or use them to create third-party advertising profiles.

5. Professional Organizations and Household Privacy

A Professional or Professional Organization that sponsors or assigns a Second Pilot household assessment may receive operational information needed to manage that assessment, such as invitation, participation, activity, or completion status.

Sponsorship does not automatically provide access to individual participant responses, the household’s Report, or its 30-Day Knowledge Transfer Plan.

Where Second Pilot offers in-Portal Professional access to household results, both household participants must affirmatively authorize the specific Professional before that Professional receives access.

Account Principals and Administrators do not automatically inherit a Professional’s permission to view household results.

Households may separately download and share their own published results with family members, friends, Professionals, advisers, or others they choose.

6. AI, Quality Review and Service Improvement

Second Pilot uses automated and AI-assisted systems to analyze household information and prepare results.

Generated results may undergo automated quality review. During beta and in appropriate circumstances, limited human review may also be used to evaluate reliability, resolve system issues, or identify recurring product problems.

Second Pilot may analyze de-identified or aggregated operational information, such as completion rates, processing times, quality exceptions, and overall completed-score statistics, to understand and improve the Service.

Any future use of aggregated or de-identified derived household findings beyond the currently approved analytics boundary will be subject to separate Second Pilot privacy and product review.

7. Protected Support Access

Second Pilot personnel do not ordinarily browse individual participant responses as part of routine administration.

When protected household information is reasonably necessary to investigate a specific support, technical, analysis, security, or system problem, an authorized Second Pilot Platform Administrator may use Protected Support Access.

Protected Support Access is deliberate, limited, read-only, and audit logged. Access is restricted to information reasonably necessary to investigate the issue.

If an error is identified, Second Pilot may correct the system or analysis and regenerate affected outputs when appropriate. Participant source responses are not rewritten merely to make a result conform to an expected outcome.

8. Communications

Second Pilot may send service-related communications, including authentication messages, invitations, required clarifications, account notices, result availability notices, and other communications necessary to provide the Service.

Second Pilot may also send its own marketing communications where permitted by law. Marketing messages will provide an appropriate way to unsubscribe.

Opting out of marketing does not prevent Second Pilot from sending necessary service or account communications.

Second Pilot does not sell or rent email addresses or other personal information to third parties for their independent marketing.

9. Service Providers

Second Pilot uses third-party service providers to operate portions of the Service, which may include cloud hosting, database services, authentication, email delivery, payment processing, analytics, security, and AI-related processing.

These providers receive information only as reasonably necessary to perform services for Second Pilot and are subject to applicable contractual, technical, and privacy protections.

We select providers with consideration for appropriate security and privacy practices, but no online system can guarantee absolute security.

10. Authentication and Security

Second Pilot uses passwordless authentication where implemented, such as secure links sent to a verified individual email address.

Users are responsible for maintaining control of their email accounts, devices, and Second Pilot access.

Professional users must use their own verified individual identity rather than sharing organization authentication credentials.

Second Pilot uses technical and organizational safeguards designed to restrict unauthorized access, including access controls, private data storage, audit logging, and other security measures.

11. Sharing and Disclosure

Second Pilot does not sell personal information.

We may disclose information:

  • to service providers acting on our behalf;
  • to a specific Professional when the household has provided the required authorization;
  • at the direction of a household when it chooses to share its own results;
  • when reasonably necessary to protect Second Pilot, users, or the security of the Service;
  • when required by applicable law, legal process, or governmental request; or
  • as part of a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to applicable privacy obligations.

12. Data Retention and Household Withdrawal

Second Pilot retains information for periods reasonably necessary to provide the Service, maintain security and audit records, comply with legal obligations, resolve disputes, and support legitimate business operations.

Retention periods may differ depending on the type of information and purpose for which it is maintained.

For an activated household assessment, either participant may use the applicable Second Pilot withdrawal process to withdraw the household assessment. Under the current product design, withdrawal ends the assessment for both participants and initiates deletion of both participants’ household assessment information through Second Pilot’s applicable deletion process.

Certain limited non-content operational, audit, security, legal, transaction, or backup records may need to be retained for a period of time even after an assessment is withdrawn or deletion is requested.

Second Pilot will not represent information as immediately erased from every backup or system when technical or legal retention requirements make that representation inaccurate.

13. Cookies and Analytics

Second Pilot may use cookies or similar technologies necessary for authentication, security, session management, and operation of the Service.

We may also use privacy-conscious analytics to understand Service usage and improve performance and usability.

Google Analytics

We use Google Analytics 4 on our public website to understand website traffic, page usage, and performance. Google Analytics may use cookies such as _ga and related identifiers when you allow Analytics cookies.

Our consent configuration may send limited cookieless measurement signals to Google before Analytics consent is granted, but Google Analytics cookies are not set unless you allow Analytics cookies.

You can change or withdraw your consent at any time through Cookie Preferences. Withdrawing consent stops future consented analytics collection, although cookies previously placed in your browser may remain until they expire or are cleared.

Cookie Preferences

Second Pilot does not use private participant assessment responses to create third-party advertising profiles.

14. Your Choices and Privacy Rights

Depending on your relationship with Second Pilot and applicable law, you may be able to:

  • access certain personal information associated with your account;
  • correct inaccurate account information;
  • update optional contact information;
  • withdraw a household assessment using the applicable product process;
  • request deletion where applicable;
  • unsubscribe from marketing communications; and
  • ask questions about how Second Pilot handles your information.

Residents of California and other jurisdictions may have additional rights under applicable privacy laws.

Second Pilot will provide and process legally required privacy requests in accordance with applicable law.

15. Children’s Privacy

Second Pilot is intended for adults age 18 and older.

We do not knowingly offer household assessments to children or intentionally collect personal information from individuals under 18 through the Service.

If you believe a minor has provided personal information to Second Pilot, contact us.

16. Changes to This Policy

We may update this Privacy Policy as Second Pilot evolves, including during and after beta.

When we make changes, we will update the Last Updated date. For material changes, we will provide additional notice when required or appropriate.
